Refund policy
This policy covers Desk Pass, Studio Seats, shorter programmes, and Field Partnerships booked with Mindtracebase. Last updated 1 August 2026.
Eligibility
Refunds apply only to confirmed, paid bookings invoiced by Mindtracebase. Informational prices on this website are not themselves refundable because no payment is taken on the site. Employer-paid seats are refunded to the paying organisation, not to the individual student, unless the invoice was issued in the student’s name.
Timeframe
Write to info@mindtracebase.digital before the programme start date printed on your confirmation. Requests received after the first live session are assessed under partial-refund rules below. Desk Pass refund requests must arrive within 14 days of payment and before the first quarterly PDF is downloaded.
Full refund
You receive a full refund of tuition or Desk Pass fees if: we cancel a cohort and cannot offer a date within 90 days that you accept; you cancel in writing at least 14 days before the first live session; or we refuse the booking after payment because the syllabus is a poor fit (for example, the work is primarily paid UA attribution).
Partial refund
Cancellations between 13 days and 48 hours before the first live session receive 50% of tuition. After the first live session, no tuition refund is due, but we will transfer the remaining weeks to the next cohort of the same programme if a seat exists, once, without extra fee. Field Partnerships billed in milestones refund only unstarted milestones.
Non-refundable items
Bank transfer fees, VAT already remitted where it cannot be reclaimed, guest-pass dinners, and printed materials already shipped are not refundable. Custom data work that has been delivered under a Field Partnership milestone is not refundable.
Refund process
Email info@mindtracebase.digital with the invoice number, programme name, and whether the payer is an employer. We confirm eligibility within five working days (Bangkok). Approved refunds are issued to the original payment method. If that method is closed, we will request an alternative account in the same name as the invoice.
Processing time
Once approved, expect the funds to leave our account within 15 working days. Your bank or card issuer may take additional time to show the credit.
Refund method
We refund by the same rail you paid: Thai bank transfer or international transfer. We do not refund in cash at the studio and we do not process card payments on this website.
Cancellation by Mindtracebase
If faculty illness or a venue failure stops a live room, we offer a new date or a full refund of unused sessions. We will not substitute a recorded-only version without your written agreement.
Exceptions
Mandatory consumer rights under Thai law, where they apply, take precedence over this policy. Force majeure (severe flooding that closes the Phayathai district, for example) may delay a cohort without automatic refund if we resume within 30 days; beyond that, the full-refund cancellation rule applies. Scholarship or complimentary seats have no cash value and are not refundable.
